BYLAWS

TIMBERLINE HIGH SCHOOLBOYS' LACROSSE PARENTS CLUBBYLAWS

PURPOSE - The purpose of the Timberline High School Boys' Lacrosse Parents' Club is to support the Timberline High School Boys' Lacrosse Teams, and Timberline Lacrosse feeder programs to the extent possible; to assist in any project pertaining to the welfare of the team where such assistance is needed; to be of assistance on all trips made by the team during all seasons of the year; and to provide support through game operations, fundraising and general club business.  

DEFINITIONS - Executive Board- Consists of the President, Vice-President, Secretary, Treasurer  & Fundraising Chair(s).*The Board-Consists of the Executive Board Members & Committee Chair Representative.*Membership - Is any parent, step-parent or legal guardian of a current active Timberline High School Boys Lacrosse player. 

MEMBERSHIP - Membership shall consist of parent, step-parents or legal guardians of active student athletes participating on the Timberline High School Boys Lacrosse Team.  Freshman parent, step-parents or legal guardians may become members at any time after the beginning of the academic year. Memberships of senior parent members expire at the end of the lacrosse season. "Members" means parents, step-parents, or legal guardians.   

EXECUTIVE BOARD - The Executive Board shall consist of the President, Vice President, Secretary, Treasurer and Fundraising Chair (s). Board Members must be a parent, step-parent or legal guardian of an active Timberline High School Boys Lacrosse player.  The maximum time a board member may serve on the board, in the same position, is three (3) years.  A simple majority vote of the Executive Board members present at a meeting at which a quorum is present may authorize any action by the Parents' Club, unless a greater number is required by these Bylaws.   

EXECUTIVE BOARD ELECTIONS - Nominations shall be submitted thirty (30) days prior to election.  All nominees must have served as a committee chair or executive board member for Timberline Lacrosse.  The elections will be held at the annual end of season board meeting.  Only eligible members may vote; those members with membership that will remain active in the subsequent season are eligible to vote at the annual board meeting.  Outgoing senior parents are not eligible to vote.   There will be one vote per active Timberline High School Lacrosse Player. 

HEAD COACH - The head coach is responsible for the selection of coaches, which will be approved by the board.  The head coach oversees all coaches.  He may dismiss an assistant coach or any other coach for activities that violate  the clubs policies with board approval.  The head coach will determine playing time for all players.  He is responsible for the selection of team captains.  The head coach will select all out of town travel tournaments to be approved by the board.  He is responsible for coordinating tryouts, scheduling practices, post season awards, maintaining athlete database and assisting with club website.  The head coach or an assistant from his coaching staff must attend monthly Timberline Lacrosse Board meetings and monthly TVLL meetings.  The head coach serves at the discretion of the Executive Board.   

PRESIDENT - The President shall preside at all meetings of the organization. The President or his/her designee shall serve as the Club's liaison with the coaching staff, the high school Athletic Director, the high school Principal and at TVLL meetings.  The president will coordinate publicity and communications.  The president shall maintain the clubs memberships. The President is an ex officio member of all committees. The President shall provide a written agenda prior to all meetings over which the President presides.  The president must have served for at least one year in another position on the Executive board or as committee chair for Timberline Lacrosse to hold this position.  The president will hold this position for a minimum of two (2) years and a maximum of three (3) years. 

VICE PRESIDENT - The Vice President shall assist the President in any way that the President shall designate, and shall perform all ordinary and necessary functions of the President in the latter's absence.  The Vice President will hold this position for a minimum of two (2) years and a maximum of three (3) years and must have served as a committee chair or in another position on the Executive Board for Timberline Lacrosse to hold this position. 

SECRETARY - The Secretary shall keep minutes of each meeting and perform such other duties as may pertain to the office. The Secretary shall have copies of the Club's records of membership, and shall provide notification of all meetings to the members, as requested by the President. The secretary shall make available minutes of all meetings to the membership. The secretary shall assist in an annual audit of the treasury account.  In the event that the elected secretary is not present at a meeting, a person so designated by the President to fulfill the Secretary's duties shall perform all necessary functions incident to the office.  The Secretary will hold this position for a minimum of two (2) years and a maximum of three (3) years and must have served as a committee chair or in another position on the Executive Board for Timberline Lacrosse to hold this position. 

TREASURER - The Treasurer shall promptly collect and deposit all monies and pay all bills subject to the order of the President. The Treasurer shall report at all regularly scheduled meetings, and shall open the clubs financial records for inspection by the members at all reasonable times.  The Treasurer shall provide a bank reconciliation of transactions and a balance statement at each meeting. Within two (2) weeks following expiration of the Treasurer's term of office, the Treasurer shall turn all records over to the successor Treasurer, who shall take receipt of them.  The Treasurer will hold this position for a minimum of two (2) years and a maximum of three (3) years and must have served as a committee chair or in another position on the Executive Board for Timberline Lacrosse to hold this position. 

FUNDRAISING CHAIR(S) - The Fundraising Chair(s) shall be responsible for coordinating the fundraising program.  The Fundraising Chair(s) shall be nominated by the Timberline High School Boys' Lacrosse Parents' Club, and shall be approved by the Board for a minimum two (2) year term and a maximum term of three (3) years. The Fundraising Chair(s) shall be responsible for filling the committee positions needed to conduct this program.  All fundraising monies raised are to be used solely for the Timberline High School Boys Lacrosse Teams. 

*As an Executive Board Member you will commit to train your successor for their transition into their position. 

VACANCIES

If any Officer resigns or the office becomes vacant for any other reason during the season, the vacancyshall be filled by a simple majority vote of the Executive Board. 

REMOVAL - A Member of the Executive Board may be removed for severe misconduct upon a two-third (2/3) majority vote at a special meeting of the Executive Board called by the President or any Executive Board Member.     

MEETINGS 

A. Annual Meeting - The annual end of season meeting shall be held at a date determined by the Executive Board.   Membership of senior player's parents, step-parents or legal guardians expires at this time.  Officers shall be elected, reports considered, and other business may be brought before the membership at the annual meeting.  

B. Monthly Meetings - The Parents' Club will meet monthly during the year. 

C. Executive Board Meetings - Executive Board meetings may be called at the discretion of the president or chair. 

DUES - Annual club dues will be assessed; each year the Executive Board will determine the amount based on expected costs for the season. Under special circumstances, including, but not limited to, financial hardship, the coach or any Executive Board Member may privately petition the Executive Board for a waiver from the dues requirement on behalf of the family of a player. 

COMMITTEES - Except as otherwise stated herein, any member of the Parents' Club may be a member of any committee; however, no member may be a chair person of more than two (2) committees.  These Committee Chairs shall each assume full responsibility for their respective committee obligations, and shall put forth their best efforts to accomplish their missions.  Chair vacancies shall be filled by a simple majority vote by the Executive Board. 

BUDGET - The current Executive Board shall purpose an annual budget to the incoming Executive Board at the annual end of season meeting. A budget must be approved by September by the Executive Board. The Executive Board will solicit and approve all requests for expenditures from Club funds. 

FUNDRAISING - The Fundraising Chair(s) shall design and direct the fundraising program.  All monies raised go directly to the Timberline High School Boys Lacrosse Team. 

SPIRIT SALES - The Spirit Wear Chair shall be responsible for the design and sale of spirit items that promote Timberline High School Boys' Lacrosse. This Chair shall also be responsible for the ordering, distribution, and collection of money for team clothing purchased by the parents and other persons. All monies raised go directly to the Timberline High School Boys Lacrosse Team. 

HOSPITALITY/TEAM MEALS - The Hospitality/Team Meals Chair shall arrange team meals during the season, which are typically held the evening before games chosen by the coach; the Committee shall also coordinate a "Meet-the-Team" dinner at the beginning of the season for the players and parents or legal guardians.    

TRAVEL COORDINATOR - Travel Coordinator Chair shall arrange transportation, hotels and meals for the team and coaches for overnight trips. The Chair shall provide the Board all trip information and maps. 

CONCESSION  STAND - The Concession Stand Chair(s) shall arrange for concession stand coverage by parents, legal guardians, adult volunteers or players for each of the home games. 

BANQUET COMMITTEE - The Banquet Committee Chair shall plan and staff the end of the year recognition banquet. 

TEAM REPRESENTATIVES - Timberline High School Boys Lacrosse Team will have two (2) Team Representatives or Team Rep's being a parent, step-parent or legal guardian for both Varsity and JV.  The Team Rep will act as a liaison for the players, parents, coaches, committee chair and Executive Board.   Responsibilities of the Team Representative will be: assuring the discreet communications of issues of a sensitive nature for all parties concerned, periodic observation of team practices, and attend monthly board meetings.   

JUNIOR HIGH SCHOOL LIAISON - The Junior High School Liaison will provide information on all team activities to the Jr. High Schools which feed to our club. 

DISSOLUTION - The Parents' Club may be dissolved by two-thirds (2/3) majority vote of the voting members. The Parents' Club membership shall, by a plurality vote, determine which nonprofit organization, whose purpose is to further lacrosse in the Boise, Idaho community, shall receive the assets of the club. Upon the dissolution of the Parents' Club, the Executive Board shall, after paying or making provision for payment of all liabilities, dispose of the assets to the duly selected charity. No part of the net earnings of the Parents' Club shall be used to the benefit of, or be distributed to, its members, officers, private persons or players. 

AMENDMENTS - These Bylaws shall be reviewed at least every three (3) years by the Executive Board.  The Bylaws may be amended at any annual, regular, or special meeting of the membership by a written ballot vote of at least two-thirds (2/3) of the voting members present. Any amendment must be sent in writing to all members at least thirty days (30) prior to the meeting at which the amendment will be considered.  Two Executive Board Members, excluding the President, shall count the ballots and report the outcome prior to the end of the meeting.
